What we collect

Depending on the service you request, we collect contact details such as your name, phone number and email address; event and booking details such as venue, date, guest count, room requirement, budget and message; career-application details such as the role and application text; your optional preference choices; and security or technical records generated when the website is used. Optional external providers may receive technical data, including an IP address and browser information, when you choose to load their service. Do not enter government identification, financial details or other unnecessary sensitive information in free-text fields.

Purposes and permitted processing

We use information that you voluntarily provide to respond to the enquiry, application, reservation or other service you request. We also process limited technical information to operate, protect and diagnose the website. Where consent is required, we request it separately and for a stated purpose. Google Analytics, online booking, maps, videos and virtual tours, and social content each have a separate website choice. Marketing and WhatsApp choices on an enquiry are optional and unchecked. Declining an optional choice does not prevent Tivoli from handling the enquiry you requested.

Sharing and third parties

We share personal data only where needed to provide, secure or support the requested service, comply with law, or protect legal rights. Relevant providers may include Netlify, Supabase, MongoDB, Cloudinary, Google, SwiftBook, Meta/WhatsApp, YouTube, Instagram, Matterport and email or customer-support providers. Tivoli remains responsible for processing undertaken on its behalf and maintains appropriate contractual and security requirements for processors.

Retention and security

Website venue enquiries and contact messages are scheduled for review or deletion after 24 months. Career applications are scheduled for review or deletion after 12 months. Optional browser preferences remain on your device until you change them, clear browser storage or a new notice version replaces them. Security and processing logs are retained for the period required by applicable law, currently at least one year where the DPDP Rules apply. Booking, payment, tax, dispute or legal records may be retained longer where required by law or necessary for an active contract or legal claim. We use proportionate access controls, validation, monitoring, backups and encryption safeguards, but no online service can guarantee absolute security.

Children

This website is not designed to knowingly collect personal data from children. Do not submit a child’s information through an enquiry or career form. If a child’s data is necessary for a specific service, Tivoli must obtain verifiable parent or lawful guardian consent and apply the applicable children’s-data controls before processing.

International processing

Some service providers may process or make support access to data from locations outside India. Tivoli requires such processing to remain subject to applicable Indian law, contractual safeguards and any transfer restriction notified by the Government of India.

Your choices, rights and grievances

You can withdraw optional website consent at any time via Privacy preferences. You may request a summary of personal data and processing, correction, completion, updating or erasure, withdraw consent, submit a grievance, or make a nomination where provided by applicable law. Email amit.sood@thetivolihotels.com and identify the service or enquiry concerned. We will verify requests proportionately to protect you and other people.

We will respond to grievances within a reasonable period not exceeding 90 days and aim to respond sooner. If you remain dissatisfied, you must first exhaust Tivoli’s grievance process before using the complaint mechanism made available by the Data Protection Board of India under applicable law.

Updates

We will publish material changes on this page and update the effective date and version. A material change does not create consent for a new optional purpose; where fresh consent is required, we will request it separately. For questions, email amit.sood@thetivolihotels.com.
